How the allocation stays fair

Each open slot goes to an available member with the fewest duties so far.

  1. Lowest tally first

The generator starts with the members who have the fewest assigned duties.

  2. Longest wait breaks a tie

If totals match, the person whose last duty was furthest back is chosen next.

  3. One duty per date

A member cannot fill two roles on the same day, and exempt members are left out.

  4. Shuffle changes equal ties

Shuffle changes the seeded order used only after the tally and last-duty checks are equal.

From one-off rota to season management

How SailHQ does this automatically

SailHQ does this automatically every season, with swap requests, email reminders and qualification gating (Race Officer, Powerboat L2, First Aid) so the rota fills itself.

The free tool creates a one-off rota for you to copy or download. It does not send reminders, handle swaps or check qualifications.

Set the club rules first with the duty rota fairness guide. Then use the Officer of the Day checklist to confirm race-day cover.
