SailHQ is web-based management software for sailing clubs. It handles race duty rosters, boat bookings, member management, and event coordination from one place. It works on any device with a browser.
No. SailHQ runs in any modern browser. Members can add it to their phone home screen for an app-like feel, but it is not required.
Yes. SailHQ works for clubs of all sizes, from 30 members to several hundred. Smaller clubs often benefit the most because committee time is limited.
No. SailHQ works for dinghy clubs, yacht clubs, cruising clubs, training centres, and mixed watersports clubs. Roles, duty types, and series templates are all configurable.

Yes. You can define your own duty types (Race Officer, Safety Boat, Galley, etc.), edit them as your club evolves, and assign members across the season. See the gallery for screenshots.
Yes. SailHQ uses role-based access so you can give different committee members the right level of access without sharing a single login.
Yes. Set up a recurring race programme once with a series template and reuse it season after season. Edit the template and the schedule rebuilds.
Yes. Each club has a configured location with associated weather data, so the schedule can show conditions alongside upcoming events.
Onboarding
Most clubs are up and running within a week. We handle the initial configuration of duties, roles and member access in a single setup call. Migrating member data from spreadsheets usually takes 1-2 days.
Yes. Send your existing Excel or Google Sheets files and we'll import your member list and historical data. Migration help is included.
Yes. Free video call onboarding for your admin team is included. We also share documentation and short walkthrough videos you can pass on to members.
Yes. All club data can be exported in standard formats such as CSV at any time. Your data belongs to you.
Data and security
Yes. HTTPS encryption, hashed passwords, role-based access controls and regular automatic backups. More detail on the security page.
Yes. SailHQ has tools for data export, deletion requests and consent management. Full detail on the GDPR page.
All data is hosted on UK-based servers (Siteground UK), with automatic backups. This keeps the platform aligned with UK GDPR requirements.
Only authorised admins and committee roles, limited to what's needed for their job. Members control what's visible on their own profile.
Integrations
SailHQ supports calendar exports (iCal) for syncing with Google Calendar, Apple Calendar and Outlook. Further integrations get added based on club feedback.
Yes. Members can subscribe to an iCal feed of their own duties and the club's calendar so events show up in their phone calendar automatically.
